STUDIO POLICIES & PROCEDURES

 

TUITION & PAYMENT POLICIES

Tuition is due on the 1st of each month and is considered late after the 10th of the month. Tuition remains due regardless of holidays, studio closures, vacations, absences, or inclement weather.

Invoices are emailed on or around the 20th of each month.

​

Payments may be made by cash, check, e-check, credit card, online through the Customer Portal, Auto-Pay, or by mail. Mailed payments must be postmarked by the 10th to avoid late fees.

​

A convenience fee applies to all credit card transactions. Current processing fees are posted on our website and will be automatically added to applicable transactions.

​

A $25 late fee will be assessed on all balances not paid by the 10th of the month, regardless of the charge type, including tuition, costumes, recital fees, apparel, shoes, and other account charges.

Families with two or more students enrolled from the same household will receive a 10% discount on the lowest tuition amount. This discount applies to tuition only and does not apply to costumes, recital fees, apparel, shoes, competition fees, registration fees, or other charges.

Tuition is not prorated for absences.

​

Annual tuition is calculated based on the total number of classes offered during the dance season and divided into nine equal monthly payments. Each class schedule includes two built-in makeup days. If additional classes are canceled due to weather or unforeseen circumstances beyond the allotted makeup days, the studio will schedule additional makeup classes as needed.



AUTO-PAY AUTHORIZATION

By enrolling in Auto-Pay, you authorize Dance Expressions ("DE") to automatically charge the payment method on file for all charges associated with your account, including but not limited to:

  • Tuition

  • Costumes

  • Registration Fees

  • Performance Fees

  • Apparel and Shoes

  • Late Fees

  • Past-Due Balances

  • Any Other Charges Incurred

 

Auto-Pay payments are processed on the 1st of each month.

​

By enrolling in Auto-Pay, you authorize DE to charge the full outstanding balance due on your account using the payment method on file.

​

If a payment is declined, returned, disputed, or otherwise unsuccessful, you authorize DE to reattempt the transaction until the balance has been paid in full.

​

Enrollment in Auto-Pay does not waive late fees, returned payment fees, or any other penalties associated with delinquent accounts.

​

DE reserves the right to pursue collection of unpaid balances and restrict participation in classes, performances, events, or studio activities until the account is brought current.



OVERDUE ACCOUNTS

A $35 returned payment fee will be assessed for all returned checks, ACH transactions, or disputed payments.

​

Accounts that remain unpaid for 60 days may result in the student's suspension from classes until satisfactory payment arrangements have been made.

​

Accounts that remain unpaid for 90 days may result in the student's removal from classes and forfeiture of enrollment.

​

All accounts must be paid in full by May 25th. Accounts with outstanding balances after May 25th will incur an additional $50 late fee.

​

Students with unpaid balances will not be permitted to participate in the Annual Performance, receive costumes, or receive performance materials until the account is paid in full.



PERFORMANCE PACKAGE

 

The Performance Package includes both recital and costume fees.

 

Recital Fee - The recital fee includes:

  • Recital T-Shirt

  • Digital Download of Performances

  • Livestream Access

  • DE Good Luck Gift

The recital fee is due March 1st.

 

Costume Fees - Costume fees include:

  • Costume(s)

  • Accessories

  • DE Garment Bag

  • Tights (when applicable)

  • Applicable taxes

Costume fees are divided into two installments due on November 1 and January 1.

 

Recital Costume Requirements

  • Kinderdance Combo: 1 costume

  • Intro to Youth Combo: 2 costumes

  • Youth Combo: 2 costumes

  • Junior Ballet, Jazz, Tap: 1 costume per genre

  • Teen Fundamentals Ballet, Jazz, Tap: 1 costume per genre

  • Teen Ballet, Jazz, Tap: 1 costume per genre

  • Musical Theater: 1 costume

  • Hip Hop: 1 costume

  • Contemporary: 1 costume

  • Acro/Tumbling: Non-recital classes

Students who add or transfer classes after November 15 may be required to purchase additional costume(s), subject to availability.

 

For families enrolled in Auto-Pay, recital and costume fees will be automatically charged on the applicable due dates unless other arrangements have been approved by management.

 

Costumes are typically distributed in May.

​

All recital and costume fees are non-refundable.

​

Students who withdraw after costume purchases have been made may pick up their costumes between May 1st and May 20th. Costumes not claimed by May 20th become the property of Dance Expressions and may be donated or disposed of.



ATTENDANCE, WITHDRAWALS & CANCELLATIONS

A three-minute transition period is built into the schedule between classes.

Dance Expressions maintains a closed classroom policy. Parents may observe classes via the monitors in the lobby.

​

No refunds, credits, or tuition adjustments will be provided for missed classes.

​

Students are encouraged to attend approved make-up classes whenever possible, especially from September through December. Beginning in January, classes start learning recital routines, and make-up opportunities may be limited or unavailable as choreography varies by class. For this reason, we recommend scheduling make-ups before January whenever possible.

​

To withdraw from a class, a completed Withdrawal Form must be submitted through the studio website at least 30 days prior to the desired withdrawal date.

​

Tuition and fees remain the responsibility of the account holder during the 30-day notice period. Enrollment charges will continue until proper withdrawal documentation has been received and processed.

​

Dance Expressions reserves the right to provide substitute instructors when necessary.

​

In the event of severe weather or emergency closures, notifications will be communicated via email, the studio app, website, and social media platforms. Dance Expressions generally follows De Soto and Olathe school district weather closures; however, the studio reserves the right to make independent closure decisions.



GENERAL POLICIES

A non-refundable annual registration fee of $40 per student or $75 per family is required. Enrollment is not guaranteed until all registration fees have been paid in full.

All students are automatically enrolled in the Annual Performance unless a Recital Opt-Out Form is submitted by the published deadline.

​

Dress rehearsal attendance is mandatory for recital participation unless prior approval has been granted by studio management.

​

Dancewear, shoes, apparel, and merchandise are due at the time of purchase and will be charged automatically to the payment method on file.

​

Performance schedules, rehearsal dates, and event times are subject to change.

​

Parents or guardians of students requiring restroom assistance are encouraged to remain on-site during class.

​

Dance Expressions is not responsible for lost, stolen, or damaged personal property.

​

Parents or guardians are responsible for supervising children before and after class. Students should not arrive more than 10 minutes before class and should be picked up promptly at dismissal.

​

Parents or guardians who do not wish to grant permission for photography or videography may opt out by filling out and submitting a Photo & Video Release Form. Dance Expressions will make reasonable efforts to honor any restrictions noted on the form; however, complete exclusion from group photographs, performance recordings, and public event media cannot be guaranteed.

​

REALEASE OF LIABILITY

I understand that participation in dance, tumbling, acrobatics, performances, rehearsals, competitions, and other related activities involves inherent risks, including but not limited to bodily injury, illness, property damage, permanent disability, and, in rare circumstances, death. I voluntarily assume all risks associated with my child's participation in Dance Expressions activities.

In consideration of being permitted to participate in Dance Expressions programs and activities, I, on behalf of myself, my child, my heirs, executors, administrators, successors, and assigns, hereby release, waive, discharge, and covenant not to sue Dance Expressions, its owners, directors, employees, instructors, contractors, volunteers, agents, and representatives from any and all claims, demands, causes of action, damages, losses, liabilities, costs, or expenses arising out of or related to my child's participation in any Dance Expressions activity, whether caused by negligence or otherwise, to the fullest extent permitted by law.

​

I further agree to defend, indemnify, and hold harmless Dance Expressions, its owners, employees, instructors, contractors, volunteers, and representatives from and against any and all claims, actions, damages, liabilities, costs, expenses, or attorney fees arising out of or relating to my child's participation in Dance Expressions programs, including any claims brought by or on behalf of my child or any third party.
